What makes a CRM future-ready for field sales and distribution
A CRM is future-ready for field sales when the record is written where the work happens. The visit is checked in at the dealer's counter, the order carries the rate from the price master, and the scheme is calculated from what was sold, so nobody argues about it at quarter end. Agents then flag the patterns a manager cannot see one order at a time.
Why most field CRMs record what the team said
In distribution, the CRM is usually filled in at night. The rep remembers six visits, types four and rounds the order values. The discount agreed at the counter goes in as a one-off. The scheme the dealer was promised gets worked out in a spreadsheet after the quarter closes, and the dealer's number and the company's number differ.
None of that is dishonesty. It is what happens when the record is written hours after the work and miles from it. A future-ready CRM moves the record to the counter and lets the phone do the typing that memory used to do.
Seven things to check in a demo
Take each one in as a question, and ask to see it on a phone, not a slide.
- Visits checked in where they happen. The check-in should carry GPS and be tested against a fence around the dealer's address. - The rate comes from the price master. A counter order should take its rate from the price master for the ship-to district, not from the rep's memory. A rep can still key a different rate, but the gap is measured as a deviation and goes for approval. Ask to see an order at 3% under list, and who it went to.

None of these agents approves a discount, cuts off a dealer or pays a claim. Nothing executes until a person presses approve. A dismissed card stays quiet for 30 days, every action is logged with who approved it, and a business can switch the agents off. A CRM that records where reps are holds personal data, and the rules are getting stricter. In India, the main obligations of the Digital Personal Data Protection Act apply from 13 May 2027, at the end of the 18-month phase-in that followed the Rules. How to test one before you buy
